Business Continuity Policy of

Arcadia Corporate Merchandise Limited

Critical Information - All system data is backed up nightly and a copy is stored off-site nightly.

 

Replacement servers can be operational and accessible with in 12-24 hours. These would be located at our ISP HQ in Hemel Hempstead, Herts.

 

Sales and Administration staff have the ability to work remotely and can supply quotation and progress orders in this way.

 

 

-          All local-rate phone numbers will be immediately redirected to our backup facility in Hemel or re-directed to individuals if direct numbers are used.  Agents at this call center will immediately be able to accept orders and inquiry calls.  Arcadia personnel will be on-site at this facility within 4 hours.

-          All Web site hosting functions are located at Hemel so the Arcadia web site and all customer branded merchandise sites will be unaffected.

-          All embroidery services will be performed by our sister company based on the Cressex Business Park approximately half a mile away from Arcadia’s offices.

-          Fulfilment operations will be conducted at Arcadia’s second site facilities based on the Cressex Business Park also.

 

Arcadia’s supply chains would remain unaffected.

 

 

The following headings have been identified as the main risk elements to the business of Arcadia Corporate Merchandise Limited.

 

Staff Retention and Key Personnel

 

  • Arcadia’s staff retention is excellent and is a main element in client happiness and continuity. Arcadia’s CRM and Accounting systems ensure that if an individual is ill or incapacitated that the relevant information is easily accessed and passed on to the client.
  • “Key Man” Insurance Policies cover the Directors and main Account Directors against death and terminal illness. Responsibilities and client accounts a quite equally divided between these people in order to minimise risk.

 

  Arcadia Business Premises

 

  • Arcadia’s buildings are fully protected and are on a private road guarded by key access gates.
  • In the event of fire, flood or disaster, all sales and administration personnel can access Arcadia’s CRM and Accounting systems remotely including dedicated telephone lines and internet access. This is the case also for any sustained period of power loss.

 

Arcadia’s Embroidery Production

 

  • The embroidery production can be switched to our overspill production facility on the same business park easily. In the event of disaster, replacement machines and production facilities can be restored on the same business park within 3 days.

 

Arcadia’s Business Data

 

  • Data is backed up each evening and a copy is kept off site. In the event of disaster new servers can be quickly set up and fully functional within approximately 12 hours.

 

Arcadia’s Supply Lines

 

  • Arcadia supply factories are vetted in order to become an approved supplier that can be freely used by the Arcadia staff for potential orders.  In each supply sector Arcadia has at least two main approved factories to ensure continuity of supply.

 

Financial Risk

 

  • Thorough credit checks limit the financial risk that Arcadia is exposed to. Payment terms are only given to the companies that pass these checks. Arcadia’s client base in based on Blue Chip companies.
  • 12% of turnover is the largest turnover percentage that Arcadia has with one single company.
